Builder Pass is operated by PR West Developments Inc. dba Builder Pass, Squamish, British Columbia. We collect personal information under British Columbia’s Personal Information Protection Act (PIPA). This page says what we collect, why, where it goes, how long we keep it and how to ask us about it. Our privacy officer can be reached at privacy@builderpass.ca.
What we collect

We do not collect more than this. We do not buy data about you, and we do not use advertising trackers on this site.
Why we collect it
- To deliver the courses you bought and track your progress.
- To issue completion records with the fields BC Housing requires (name, licence number, course, date, hours, method, competency).
- To keep those records and their evidence for the retention period BC Housing applies to CPD (three years after the end of the licence term), and to produce them if you are audited and ask us to.
- To send you transactional email: order confirmations, records, renewal reminders at 90, 60 and 30 days before your licence expiry, and notices about courses you are enrolled in.
- To answer support requests and tutor questions.
- To meet our own legal and tax obligations.
We do not sell personal information. We do not send marketing email unless you opt in, and every marketing email has an unsubscribe link.
Where it is stored and who processes it
- Database and records: Supabase, hosted in Canada (ca-central-1).
- Payments: Stripe. Card details go directly to Stripe and are handled under Stripe’s privacy policy.
- Email: Resend, for transactional and (if you opt in) marketing email.
- Video delivery: a streaming provider that receives playback requests but no identifying profile.
- AI tutor: questions you ask the tutor are sent to Anthropic to generate an answer. We send the question and the course context, not your name, email or licence number.
Some of these providers operate outside Canada (Stripe, Resend, Anthropic), which means limited personal information may be stored or accessed outside Canada and be subject to the laws there. Your records and account data stay in Canada.
How long we keep it
- Completion records and viewing logs: at least three years after the end of the licence term, and longer while your account is open so you can download them.
- Account details: while your account is open, and for three years after your last term ends so records remain producible.
- Payment records: seven years, for tax purposes.
- Support and tutor messages: up to two years.
After these periods we delete or anonymize the information. You can ask us to close your account earlier; we will keep only what the law or the CPD retention period requires.
Your rights
Under PIPA you can ask what personal information we hold about you, how we have used it and who we have disclosed it to, and you can ask us to correct it. Write to the privacy officer at privacy@builderpass.ca. We respond within 30 days. If you are not satisfied with our response you can complain to the Office of the Information and Privacy Commissioner for British Columbia.
Cookies
We use a session cookie to keep you logged in and a small number of functional cookies (for example, remembering where you left off). We do not use third-party advertising or analytics cookies that track you across sites.
Security
Data is encrypted in transit and at rest. Access to production data is limited to the people who need it to run the service. Completion records are immutable once issued. If a breach affects your information we will notify you and the Commissioner as required.
Company plans
If your pass was bought under a company plan, the plan administrator can see your name, whether each course is complete and your completion records, because the company needs them for its licence. The administrator cannot see your viewing logs or tutor questions.
Changes
We update this policy when our practices change. The date at the top changes when we do, and material changes are emailed to account holders.
